About the Team

AI Labs is a central R&D organization within Keysight focused on advancing applied AI, machine learning, and agentic systems across Keysight’s portfolio. The team works cross‑functionally with business units and platform teams to translate cutting‑edge AI into trusted, production‑ready solutions for real‑world engineering problems. AI Labs core teams operate from California, Colorado, Spain and India.

 

Role Summary

 

AI Labs is seeking a highly capable, proactive, and trusted Executive Assistant. This role reports to the Director of AI Labs and serves as a key operational partner for the AI Labs team and supports the Loveland Colorado office.

 

This position is purposefully tailored to the needs of a fast‑growing, technical R&D organization. The EA will help drive organizational effectiveness, streamline operations, and support day‑to‑day execution for AI Labs, balancing executive support with program coordination and office operations. This is role is based in Loveland, CO, with close interaction with a globally distributed team.


Responsibilities


Key Responsibilities

 

AI Labs Operations & Coordination

  • Support day‑to‑day operational rhythms for AI Labs, including staff meetings, leadership syncs, planning cycles, and ad‑hoc initiatives.
  • Maintain org charts, contact lists, and reference materials for the AI Labs organization.
  • Track action items and key operational follow‑ups across the team.

Executive & Administrative Support

  • Provide direct executive support to the Director of AI Labs, including calendar management, meeting coordination, and travel arrangements.
  • Prepare materials for leadership meetings, reviews, and external engagements (presentations, agendas, notes, follow‑ups).
  • Serve as a trusted partner in managing priorities, schedules, and time‑sensitive activities.

Office & Team Support (Loveland)

  • Serve as the primary administrative anchor for the Loveland AI Labs office.
  • Coordinate onsite meetings, workshops, and team events (including hybrid/Teams logistics).
  • Partner with facilities, IT, HR, and finance teams to ensure smooth local operations.

Process Improvement & Enablement

  • Identify opportunities to streamline administrative workflows and improve operational efficiency.
  • Create templates, checklists, and lightweight processes that reduce friction while maintaining rigor.
  • Continuously assess what is working well versus where improvements would increase effectiveness.

Confidentiality & Professional Judgment

  • Handle sensitive information with the highest level of integrity, discretion, and professionalism.
  • Exercise sound judgment in ambiguous situations and act with appropriate autonomy.

Qualifications


  • 3+ years of experience in an executive assistant, senior administrative, or equivalent support role.
  • Associate or bachelor’s degree, or equivalent professional experience; additional certifications are a plus.
  • Demonstrated ability to support senior leaders and manage multiple workstreams simultaneously.
  • Strong proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools (Teams, SharePoint, Zoom).
  • Experience leveraging AI productivity tools (e.g., Microsoft Copilot, ChatGPT) to increase effectiveness is expected.
  • Excellent judgment, discretion, and professionalism.
  • Ability to work independently while collaborating effectively with a distributed team.
  • Flexibility to support occasional schedule variations as needed.
  • Background in project coordination or operations support is a plus.
  • Experience and interest in developing communications material is a strong plus

The level of role and salary will be based on applicable experience, education and skills; Most offers will be between the minimum and the midpoint of the Salary Range listed below.

 

Colorado Pay Range: MIN $60,860- MAX $101,430

 

Note: For other locations, pay ranges will vary by region.
