BAE Systems Countermeasures and Electromagnetic Attack Solutions (CEMA) business area is seeking an administrative assistant resource to support its Supply Chain organization. This Administrative Assistant will support the CEMA Supply Chain Director and his/her teams. This is an excellent opportunity to learn about supply chain in a growing, fast paced, dynamic portfolio and can be a great stepping stone into other roles within the company.

Because this role involves a combination of collaborative/in-person and independent work, it will take the form of a hybrid work format, with time split between working onsite and remotely.


SPECIFIC RESPONSIBILITIES:

Manages complex office operations, supports large supply chain organization, and streamlines workflows through advanced organizational skills.
  • Key duties include calendar management, travel coordination, preparing reports, handling confidential correspondence, and coordinating meetings. Must possess strong proficiency in office software and excellent communication skills. Duties include, but are not limited to:
  • Provides administrative assistant support to CEMA Supply Chain Director and his/her teams
  • Managing complex calendars, scheduling appointments, and organizing travel arrangements for staff.
  • Creating, editing, and formatting documents, reports, presentations, and spreadsheets. Coordinates action items in meetings and taking meeting minutes
  • Communicates with executives, administrative and line management personnel to gather or convey relevant information.
  • Acting as the first point of contact, screening calls, managing emails, and handling correspondence with professionalism.
  • Organizes and maintains confidential files and records, such as Human Resources information, security accounts and other matters.
  • Ordering supplies, maintaining equipment, and implementing office procedures to improve efficiency.
  • Performs a wide range of services for the Director, including such items as making recommendations and reservations for travel, dinners, team building events, managing calendar, arranging training classes and special assignments
  • Ability to set up systems to promote collaboration among the leadership team – SharePoint, Teams channels, meeting spaces, other applications. Desire to learn development, setup, and maintenance of these applications in support of creating a more efficient, connected team.


Required Education, Experience, & Skills
  • Generally 3 years of directly related experience in an administrative assistant or office support role
  • High school diploma, Associate, or Bachelor's degree
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), MS365 and virtual meeting platforms (Zoom, Teams).
  • Excellent written and verbal communication skills for professional interaction, time management, and multi-tasking
  • Extremely strong organizational skills, attention to detail, proactive approach, professional attitude.
  • Requires a high degree of tact, initiative, accuracy, judgement and superior interpersonal skills, a thorough understanding of business practices and procedures and the ability to interface well with all levels of management


Preferred Education, Experience, & Skills
  • Directly related administrative assistance experience. Associates degree in Secretarial Services.
  • Experience utilizing Concur for travel and expense
  • Event planning
  • Self-starter with desire to grow in the organization


Pay Information
Full-Time Salary Range: $55304 - $88487

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
